These Terms govern your use of CompMetrics (the “Platform”), operated by [LEGAL ENTITY NAME] (registration number [COMPANY REGISTRATION NUMBER]), of [PHYSICAL/REGISTERED ADDRESS] (“CompMetrics”, “we”, “us”). By creating an account, registering for an event, applying as a volunteer or vendor, or purchasing a spectator ticket through CompMetrics, you agree to these Terms. If you do not agree, do not use the Platform.
1. Platform purpose
CompMetrics is competition-management software. It provides event organisers with tools for event publication, athlete/team registration, volunteer applications, spectator ticketing, vendor applications, event-day check-in, scoring, and results/leaderboards, and provides participants with registration, payment, QR admission and results access. CompMetrics licenses this software to event organisers — it does not itself organise, run, judge or supervise any competition.
2. Eligibility & accounts
- You must provide accurate, current information when creating an account or registering for an event, and keep it up to date.
- One person may hold one CompMetrics account, and that account may carry multiple roles across different events (for example, an Event Owner for one event and an athlete for another) — this does not require separate accounts per role.
- Some participation paths (athlete/team registration, volunteer application, spectator ticket purchase) permit continuing as a guest, without a CompMetrics account, where the specific event allows it.
- You are responsible for activity under your account and for keeping your credentials confidential.
3. Event organisers
Each event on CompMetrics is created and controlled by its own Event Owner (the organiser), who may assign Event Admins and Event Staff with scoped access. CompMetrics is a software provider to the Event Owner, not a party to the competition itself. Unless expressly stated otherwise, the Event Owner — not CompMetrics — is responsible for:
- event rules, format, programming and judging;
- venue selection, safety and operations;
- staffing, scorekeepers and judges;
- participant eligibility criteria for their event;
- prize structure and fulfilment (see section 11);
- refund and cancellation decisions for their event, subject to applicable law and CompMetrics’ own refund policy (see the Refund & Cancellation Policy);
- the accuracy of event information they publish.
CompMetrics does not assume liability for an organiser’s decisions about matters within the organiser’s own control.
4. Athlete & team registration
- You must provide accurate personal and eligibility information when registering. A category, division or entry type selection is subject to the event’s own eligibility rules.
- A team captain who registers a team is responsible for inviting teammates and for the team’s roster until each member completes their own registration step; each team member remains responsible for their own information, legal acceptance and payment where applicable.
- Where an event requires a waiver or other legal acceptance, that acceptance is version-specific and recorded per person — see section 10 and the Privacy Policy.
- Registration is subject to the event’s configured capacity at both event and category level. Submitting a registration does not guarantee a place if capacity is reached before payment/confirmation completes, or if any other outstanding requirement (payment, waiver, roster completion) is not met.
- Duplicate or fraudulent registrations (including registering to intentionally exclude a genuine participant from capacity) are prohibited and may be cancelled without refund.
- Where a score or result needs correction, this is handled through the event’s own scorekeeping/adjudication process, not by CompMetrics directly (see section 10).
5. Volunteers
- Volunteer participation is arranged directly between you and the Event Owner. It is not employment, and applying does not create any employment, agency or contractor relationship with CompMetrics.
- An application may be approved, rejected, or waitlisted at the organiser’s discretion, and role/shift assignment is likewise the organiser’s decision.
- Being approved as a volunteer does not, by itself, grant any operational access to the event (such as staff sign-in or check-in scanning rights) — any such access is a separate, explicit grant by the Event Owner and may be revoked independently of your volunteer status.
- Where an event collects kit/apparel sizing (fit, size or similar), that information is used only to prepare, order or issue your event volunteer apparel/equipment — see the Privacy Policy.
- You may withdraw your application or availability in accordance with the event’s own process; please do so with reasonable notice to the organiser.
6. Spectator tickets
- Ticket types, pricing and capacity are set by the Event Owner for their event.
- Each admission is issued its own single-use QR credential. The first valid scan admits the holder; a duplicate, screenshotted or forwarded copy of an already-used credential does not create an additional admission.
- A void or reissue of a credential is controlled by the organiser, for example where a genuine access problem occurred.
- CompMetrics does not currently support ticket transfer or re-entry functionality; do not rely on either being available unless the event explicitly states so.
- Refunds are subject to the Refund & Cancellation Policy and the specific event’s policy, and to your statutory rights.
7. Vendors
- Vendor applications are reviewed by the Event Owner against the event’s own categories, capacity and rules, and may be approved, rejected or waitlisted.
- Where a vendor fee applies, payment is required as configured by the event before a listing is confirmed.
- A vendor may withdraw their own application, and the organiser may cancel a confirmed vendor, in each case following the event’s process.
- A confirmed vendor may appear on the event’s public page. Appearing on this list reflects that the organiser approved the application — it is not an endorsement by CompMetrics of the vendor’s products, services or compliance with any law. Each vendor remains solely responsible for their own products, services and legal/regulatory compliance, and for any event-specific rules the organiser sets.
8. Payments & fees
- Payments (athlete entry fees, spectator tickets, vendor fees) are processed through our payment provider, currently Paystack. CompMetrics does not itself store your full card details.
- Registration may include a platform fee paid by the athlete, currently configured as a percentage of the transaction; the exact amount is calculated by the platform and shown before you pay, and the amount actually displayed and charged at checkout is authoritative for that transaction. This model may change for future events, and this page will be updated if the general model changes.
- Some entries, tickets, or applications may be complimentary (zero-fee) where the event organiser configures them as such.
- A payment is only confirmed once independently verified with the payment provider; a return to the site alone does not confirm payment.
- See the Refund & Cancellation Policy for cancellations, and section 20 of the Privacy Policy for how failed/pending payments are handled.
9. QR credentials & event-day access
Where an event uses QR check-in (for athletes or spectators), your QR code is a personal, single-use admission credential. You are responsible for protecting it — sharing it may allow someone else to be admitted in your place. A used credential cannot be reused, and replacement/void of a credential is controlled by event staff.
10. Scores, results & corrections
Live/provisional standings during an event can change as scores are entered, validated and corrected, and do not represent a final result. A leaderboard becomes final only once the organiser releases and freezes it. Disputes about a score or result are resolved through the event’s own adjudication process by its staff/organiser, not by CompMetrics directly.
11. Prize eligibility & payouts
Full detail is in the dedicated Prize & Payout Terms. In summary: prize eligibility is derived only from a finalised (frozen) leaderboard release, never from provisional standings; cash prize payouts are made by the Event Owner directly to the recipient by external EFT, using banking details the recipient supplies and explicitly authorises for that event; CompMetrics does not itself transfer prize money, and may record the payout’s status/reference for the organiser’s and recipient’s records.
12. Competition & participation disclaimer
Participating in a functional-fitness competition can carry physical risk. CompMetrics is event-management software: we do not design workouts, supervise physical participation, provide medical advice, operate the venue, or replace event safety staff. Event organisers and participants remain responsible for appropriate event and personal safety, including any event-specific waiver the organiser requires you to accept separately during registration.
13. Prohibited conduct
You must not: submit false or fraudulent information; attempt to bypass capacity, payment or eligibility controls; interfere with the Platform’s operation or security; access another person’s account, credential or data without authorisation; or use the Platform for any unlawful purpose.
14. Service availability
We aim to keep the Platform available but do not guarantee uninterrupted access. Availability can be affected by internet outages, our hosting/infrastructure providers, venue connectivity, or planned/unplanned maintenance. Nothing in this section limits our responsibility for intentional misconduct or gross negligence where such a limitation would be unlawful.
15. Suspension & termination
We may suspend or terminate an account that breaches these Terms, engages in fraudulent or abusive conduct, or poses a security risk. An Event Owner’s access to their event is governed by their own agreement with CompMetrics for that event.
16. Intellectual property
The Platform, its software, design and branding belong to CompMetrics or its licensors. Event-specific content (event names, logos, rules, results) belongs to the relevant Event Owner or the applicable rights holder.
17. Third-party services
The Platform relies on third-party service providers, including our payment provider (Paystack), hosting/database provider (Supabase), application hosting (Vercel), and transactional email provider (Resend). Your use of payment functionality is also subject to that provider’s own terms.
18. Limitation of liability
To the extent permitted by law, CompMetrics’ liability for any claim arising from your use of the Platform is limited to direct damages actually caused by our own breach, and excludes indirect or consequential loss. This limitation does not exclude any liability that cannot lawfully be excluded or limited under South African law, including the Consumer Protection Act, and does not extend to intentional misconduct or gross negligence. This clause is drafted proportionately rather than as a blanket exclusion and should be reviewed by an attorney before being relied upon in a dispute.
19. Indemnity
You agree to indemnify CompMetrics against claims arising from your breach of these Terms or your unlawful conduct on the Platform, to the extent permitted by law.
20. Governing law
These Terms are governed by the law of the Republic of South Africa, and any dispute is subject to the jurisdiction of the South African courts, without prejudice to any right you have to approach the National Consumer Tribunal or another applicable statutory forum.
21. Changes to these terms
We may update these Terms from time to time; the “Last updated” date above reflects the current version. Event-specific waivers and other documents you accept during registration are separately versioned and are not silently replaced by a later change to this page.

23. Organiser / business verification
Before an Event Owner can activate a newly-provisioned paid event, CompMetrics may require reasonable Organiser Verification / Business Verification: information and documents to verify your identity and your organisation’s legitimacy, confirm your authority to act on its behalf, validate your settlement bank destination, reduce fraud, enable paid-event functionality, satisfy provider or commercial requirements, and comply with applicable law. This requirement applies to newly-provisioned events going forward, not retroactively to events already live before this verification process was introduced.
Where this applies, verified settlement bank details and an accepted proof-of-bank-account document are mandatory before that event can accept live paid registrations; changing a material settlement-bank detail after verification returns bank verification to pending and requires a fresh proof document and internal re-review. This is CompMetrics’ own commercial-governance process, distinct from and not a substitute for Paystack’s own merchant KYC/verification, and is not represented as formal compliance with the Financial Intelligence Centre Act unless separately confirmed by legal review.
